Swim Team Handbook 2025
Website:
For the 2025 Swim Season, the majority of our communication will be done through the GQMF Swim Team website: https://gqmf.swimtopia.com
The website provides links for online registration, the most up-to-date heat sheets to see your child’s events, directions to away meets, and any information regarding practice or meet cancellations. We suggest checking this website for any updates.
SwimTopia App:
Download the app and login with the same username and password you used to register your swimmer(s). The app helps you keep track of what event is live during the meets and you can see times directly in the app.
Social Media:
- Facebook Group: Gant Millbrook Swim Team (https://www.facebook.com/groups/gqmfswim/) Please join this group on Facebook by clicking ‘join group’ in the right hand corner. It is a private group so info on this page will be shared between members only.
- Instagram: gqmfpiranhas
Email: While emails will not be our primary source of communication this season, coordinators will send periodic emails around time of meets and as practice picks up to share important information with everyone. Please use the email address [email protected] to make sure your message gets seen quickly.

- Home Meets- Please arrive by 4:45PM; Warm-Ups begin at 5:00PM.
- Away Meets- Please arrive by 5:00PM; Warm-Ups begin at 5:30PM
PARENT VOLUNTEERS- Report to the volunteer coordinator upon arrival to check-in and confirm your assignment.
*We understand the meets do run until late into the night. However, PLEASE do not leave a swim meet early if your swimmer still has events left to swim! This negatively affects the TEAM score, and directly affects other swimmers if your child is entered in a relay event. If you have an emergency and must leave early, be sure to let a coach or coordinator know.
Getting Your Events:
Every swimmer will receive a list of
- events (the specific number which corresponds to a stroke type and length of the pool to swim during the meet )
- heats (the order the swimmers go in the event)
- lanes (the lane number he or she will swim in for the event)
There are 86 events in a meet, and a given swimmer may swim up to five events in one meet.
To get your swimmers events:
- The heat sheet, or the sheet that lists who swims what events, will be emailed and posted on our swim team website (gqmf.swimtopia.com.) as early as possible on the day of the meet. You will be able to find a list of your child’s events, heats, and lanes on this sheet in addition to a list of events by event order and who is swimming in them.
- PLEASE WRITE THESE EVENTS, HEATS, LANES, AND THE STROKE FOR THE EVENTS ON YOUR CHILD’S ARM WITH A SHARPIE PRIOR TO ARRIVING AT THE MEET. The coaches and volunteers will be able to write the events on your child’s arm at the meet as well. Example:

- You can also print a copy of the heat sheet and bring it to the meet so you can follow along with who is swimming in what event.
- Bullpen parents and coaches will be available during the meet to aid in getting all the swimmers to their events and in the pool on time.
What to Bring to a Meet:
- Money for Concessions
- 1-2 Towels
- Black Sharpie
- Small games, cards, coloring books, crayons
- Rain gear and umbrella
- Folding Chairs (there is limited seating at most pools)
- Sunscreen and bug spray
- Sun hat or ball cap – pool decks can be very sunny and hot during warm-ups!
- Drinks and snacks your family needs which might not be available at concession stand
What to Wear to a Meet:
Swimmers - Please wear your team suit, swim goggles and a swim cap to every meet!
Parents – Please dress comfortably and be ready for a warm evening, especially during warm-ups. You will probably be volunteering and will need comfortable shoes. To show team spirit, please wear red or wear a team shirt if you have one!
Meet Conflicts: Going on vacation, ill child, or family emergency? Coaches must be notified if your child is not swimming at one of the scheduled meets. Please notify the coaches at least THREE DAYS in advance (Friday at 4PM before Monday meets) if you are missing a meet. Please go to the team website to add your swimmer’s name to our absence list. Here’s how:
- Go to our team website (http://gqmf.swimtopia.com), login, and click the “Swim Meets” button on the top navigation bar.
- Find the meet your swimmer will be missing. Click the RSVP button to the right of the meet name (R).
- From the pop-up menu that appears after clicking the RSVP button, click “Add Swimmer Name”. Type in the name of the swimmer who will be missing the meet, then click save. This completes the process!
Please make sure you add your swimmer’s name to this list if he or she cannot attend the meet; otherwise, we have to make deck changes that can get very confusing for the swimmers as well as the volunteers.
Parent Volunteer Meet Conflicts: If you are unable to fulfill your volunteer obligation due to vacation, illness, etc., no need to fear! Please contact the volunteer coordinator at least THREE DAYS IN ADVANCE to the meet you will miss. YOU ARE RESPONSIBLE FOR CONTACTING THE VOLUNTEER COORDINATOR to coordinate your stand-in for that swim meet.
Patti Wilder State Qualifying Meet (Cobb County Meet) & GRPA Class “A” State Meet: The Patti Wilder State Qualifying Meet (Cobb County Meet) will be held at Mt. View Aquatic Center June 21-22. This is a competitive county championship in which the best swimmers in the league compete for the chance to attend the GRPA State Meet. The coaches will open up the opportunity to register for this later in the season... more information on this is to come. If our county swimmers place high enough at the country meet, they can compete at the GRPA State Meet.
You can check out more information about these events on our website (http://gqmf.swimtopia.com) by clicking the “County Meet” section of the top menu bar.
General Information:
Inclement Weather: As a general rule, we will not hold practice if it is thundering and lightning (we DO hold practices, though, when it ONLY rains). If the water temperature is too cold for swimming, Coach will hold a dry land conditioning class. As soon as a decision is made to cancel practice, we will send out an email, post on our website, and post a message on the pool gate to notify everyone. If you do not receive an email, come ready to swim. The same applies to swim meets — if you do not receive notification, come ready to swim. The county rules are slightly different, but if a meet is cancelled we will try to make it up the same week.
Swim team remote membership: Remote swim team membership on the Gant Millbrook swim team permits you to use the swim facilities only during regular swim team practice hours, team events, or meets. Swimming at any other time without a homeowner is not permitted, unless your family has secured a GQMF Remote Pool Membership for the season.
