Meet Volunteers (Parent Roles)

Meet Job Descriptions, Parent Volunteer Information, & Volunteer Substitution: Parents are the backbone to an all-volunteer run organization like our swim team. WE NEED YOU! For a home meet we need 50+ parent volunteers to run the meet. For an away meet we need 30+. Volunteer registration will be online this year and attached to the swimmer registration process.

**For every family who registers, we need AT LEAST one volunteer to be able to work one half of each swim meet**

The first shift is generally from the start of the meet until 7:30/8 pm. The second shift is generally required from 7:30/8pm until the end of the meet, which can be as late as 10 pm.

Below is a listing and short description of the jobs needing to be filled for our meets to be successful. If you are unable to fulfill your volunteer position, it is your responsibility to find a replacement and let the coordinator [email protected] know who that replacement will be before 4 pm on the day of the meet.

  1. Timer: Using a stopwatch provided by the team to time one lane of GQMF swimmers. Write down the time and give time sheet to a runner.
  2. Place Judge: Sits at the finishing end of the pool with a judge from the other team. Writes or calls out the order each swimmer placed.
  3. Runner: Takes the time sheet from the timer and place judge’s order sheet to scorer’s table after each 
race.
  4. Scorekeeper: Calculates the score of the meet. Works with the opposing team’s scorekeeper. Uses an easy program on the team computer to calculate each event. (requires training)
  5. Set-up: For home meet, arrive at the GQMF pool by 4:30 to assist with setup of the pool, concessions, flags, chairs, starting blocks, etc.
  6. Clean Up: At the conclusion of the home meet, clean up the pool areas put all items away and clean up concessions area.
  7. Announcer/Starter: Call out the order of events to inform swimmers of the next event. Home meets only. Calls the swimmers to the block and starts the race. Home meets only.
  8. Bullpen: Prepare swimmers for races by checking them in at the bullpen area, organizing them in order of events, and help younger swimmers get to the correct block area.
  9. Concessions: For home meets only, prepare and sell food and drink items during the swim meet. Assist with set up and clean up as well depending on the time of your shift.
  10. Ribbons: Places printed time/place labels on the ribbons and organizes and files them in alphabetical order. **This job is to be completed at home and delivered to the pool NO LATER THAN 8:30 am on Fridays.
